A critical part of creating a Culture of Philanthropy for your organization is having a Donor Communication Plan ready to be implemented as you finish your year-end appeal. This will give you a jump-start on next year’s fundraising efforts. A Donor Communication Plan should not be confused with your marketing plan as it is a specific plan to keep your donors engaged and passionate about your work. Unger & Associates LLC* a not for profit consulting group recommends:
 


 

Create a formal Donor Communication Plan. This plan should include but not be limited to:

  • The scheduling of meetings (coffees and lunches) with your top 10% (minimally) of your donors throughout the year. (With key lay leadership and staff.) This is not to ask them for a gift, but to keep them informed and engaged with your work and allow you to continue building the necessary personal relationship with them.
  • The sending a series of personalized letters to your top 25% of your donors that will follow a specific year long theme.
  • The coordination of the message you are sending your donors with other newsletters and marketing materials you share with the community.

Ensure you have the budget to implement this plan.

  • Some of our clients have found donors to fund this specific project. If you are able to find a donor, make sure its listed in the letters that “these mailings have been funded by….”.

Map your donor management software to help you achieve the Donor Communication Plan.

  • Understand what you need to do, then use your system to help provide the specific information you need about each donor.
